Refund & Cancellation Policy
Last updated: 17 September 2026. This policy applies to design, development and marketing services supplied by QUALICOD GROUP LTD ("we", "us"). It replaces the previous returns policy, which described the return of physical goods and did not apply to our services.
1. Scope
We supply professional services — website and application design and engineering, brand identity, and social media management. Because these are bespoke services produced for a single client, they are not "goods" and cannot be returned. Refunds are governed by the stage of work completed, as set out below.
2. Deposits
Projects begin on receipt of a deposit, normally 40% of the agreed fee. The deposit reserves team capacity and covers discovery, planning and initial design.
- Cancellation within 48 hours of paying the deposit, and before any work has started: full refund of the deposit.
- Cancellation after work has started: the deposit is non-refundable, because the reserved capacity and completed work cannot be recovered.
3. Cancellation during a project
Either party may end a project in writing at any time. On cancellation we invoice for work completed up to that date, measured against the agreed milestones, and we hand over everything produced so far.
- If you have paid more than the value of the completed work, we refund the difference within 14 days.
- If you have paid less, we invoice the balance, payable within 14 days.
- Work completed but not yet paid for remains our property until settled.
4. Milestone payments
Payments released against an accepted milestone are non-refundable, as they represent delivered and approved work. Acceptance happens when you confirm a milestone in writing, or after 7 days without written objection.
5. Revisions rather than refunds
If delivered work does not match the agreed specification, our first remedy is to correct it at no charge. Every project includes the revision rounds named in its contract. A refund is considered only where we cannot bring the work in line with the specification.
6. Monthly retainers
Social media management and maintenance retainers run month to month. Cancel at least 14 days before the next renewal date and you will not be charged again. Part-months already started are not refunded, and the service continues to the end of the paid period.
7. Third-party costs
Amounts paid on your behalf to third parties — domains, hosting, licences, stock assets, advertising spend, app store fees — are not refundable by us once spent, and are governed by those providers' own terms.
8. Delays
If we miss an agreed deadline for reasons within our control and cannot deliver within a reasonable further period, you may cancel and receive a refund of amounts paid for work not yet delivered. Delays caused by late feedback, late content, or changes to scope do not qualify.
9. How to request a refund
Email [email protected] with your project name, the reason for the request, and the invoices concerned. We acknowledge within 2 business days and resolve within 14 days. Approved refunds are returned by the original payment method.
